Most Toodledo users leave 70 percent of the tool untouched. The power is in the configuration. Here are the five features that transform Toodledo from a notepad into a real system.
1. Saved Searches Are Permanent Smart Lists
Build a search — “context @deep-work, status Next Action, not completed” — and save it. It becomes a permanent sidebar list, always current. Build a few: Overdue, Waiting For, Someday/Maybe, This Week. Your sidebar becomes a personal dashboard.
2. Configure Your Hotlist
Hotlist settings let you set rules: due within X days, starred, priority Top/High, start date today. Set it once. The Hotlist becomes your morning command center — no triage required.
3. Subtasks as Project Mini-Plans
Toodledo’s flat subtasks are a feature. Parent = project milestone. Subtasks = executable next actions with their own due dates and contexts. Clean execution view, no separate project app.
4. Bulk Edit Saves Hours
Select multiple tasks, change folder/context/priority/status/date across all of them. Quarterly cleanups go from an hour to 15 minutes.
5. Keyboard Shortcuts
A to add, Enter to save and start a new task, Tab between fields, Escape to cancel. Tape the list to your monitor for a week — then it’s muscle memory.
None of these is dramatic alone. Together they compound. Full docs have the details.
