How to Build a Weekly Review Practice with Toodledo (GTD-Style)

The weekly review is where GTD lives or dies. Toodledo has every tool you need: saved searches, the Hotlist, folders, contexts, and the task history. Most people use 40 percent of them. Here is the 7-step process that uses the full stack.

3 Saved Searches to Set Up Once

  • Overdue: Status = Next Action, Due Date before today, Not completed
  • Open Loops — No Due Date: Status = Active or Next Action, Due Date empty, Not completed
  • Waiting For: Status = Waiting, Not completed

The 7-Step Process

Step 1: Clear Your Inboxes (5 min). Process physical and digital inboxes. Capture every action item into Toodledo.

Step 2: Process Overdue (10 min). Open the Overdue saved search. For each task: complete now, reschedule, delegate, or delete.

Step 3: Triage Unfiled (5 min). Filter for tasks with no folder. Assign each one a folder, context, and status.

Step 4: Review Active Projects (15 min). Each folder = a project. Confirm each has at least one task with Status = Next Action. A project without one is stalled.

Step 5: Check Waiting For (5 min). Open the Waiting For search. Resolved? Update. Stalled? Add a follow-up date.

Step 6: Review Open Loops (5 min). Tasks without due dates: still relevant? Add date or move to Someday/Maybe.

Step 7: Set Up Next Week’s Hotlist (5 min). Star or set Top priority on the 3–5 tasks that matter most for the coming week.

Run this every Friday. By Monday morning, your system is clean. Full setup docs in the Information Center.
