How to Use Toodledo as a Personal CRM (Without Breaking the Habit Loop)

You do not need Salesforce, HubSpot, or even a dedicated CRM tool to manage relationships systematically. Toodledo’s existing fields — Context, Status, Tag — work as a lightweight personal CRM that does not break your habit loop.

Setup

Create contexts for relationship stages: @prospect, @active, @nurture, @customer, @past-customer. Use folders for relationship categories: Investors, Customers, Vendors, Network. Use tags for company names. Status field tracks pipeline stage.

3 Worked Examples

1. Sales pipeline. Saved search: “context @prospect, status Active” = your active deals. Each task = the next action with that prospect (“Send proposal,” “Follow up on demo”).

2. Investor outreach. Folder: Investors. Tags: VC firm names. Tasks like “Email Sequoia about seed round” with due dates spread across weeks.

3. Customer success. Context @customer. Repeating tasks: “Quarterly check-in: Acme Corp.” Saved search shows everyone overdue for an outreach.

Why This Works

You already open Toodledo daily. A separate CRM is a habit fight. Building relationship management into your existing tool means it actually gets used. Full setup docs in the Information Center.
