Your calendar shows when you're meeting with people. Your task list shows what you need to do. But neither one, by itself, answers the real question: given my meetings today, when am I going to do my actual work?

Syncing [Toodledo](https://www.toodledo.com) with your calendar creates a single view that answers that question.

## The Two-System Problem

Most people maintain two separate systems: a calendar for time-bound commitments (meetings, appointments, events) and a task list for action items (write the report, review the proposal, call the client). The problem is that these systems don't talk to each other.

You check your task list and see 12 items due today. You check your calendar and see 5 hours of meetings. You do the math: there aren't enough hours for both. But you don't realize this until 3 PM, when the meetings are done and the task list is still full.

Calendar sync solves this by making your tasks visible alongside your time commitments, so you can plan realistically.

## How Toodledo Calendar Sync Works

Toodledo can publish your tasks as a calendar feed that any calendar app can subscribe to — Google Calendar, Apple Calendar, Outlook, or any app that supports iCal feeds. Your tasks appear as events on your calendar, alongside your meetings and appointments.

To set it up: go to Toodledo's settings, find the calendar subscription URL, and add it to your calendar app as a subscribed calendar. Tasks with due dates appear on the calendar on their due date. Tasks with both start and due dates can appear as multi-day items.

You can customize what gets synced: all tasks, only tasks from certain folders, only high-priority tasks, or tasks matching a specific saved search. This prevents your calendar from being overwhelmed with every minor to-do.

## The Unified Daily View

With sync active, your calendar shows a complete picture of your day:

9:00 AM — Team standup (meeting)
9:30-11:00 — *Available: Write Q3 report* (task, high priority)
11:00 AM — Client call (meeting)
11:30-12:30 — *Available: Review contract draft* (task, due today)
 12:30 PM — Lunch
1:30 PM — Design review (meeting)
2:30-4:00 — *Available: Prepare board presentation* (task, due tomorrow)
 4:00 PM — All-hands (meeting)

Now you can see, at a glance, where your tasks fit between your commitments. If it doesn't fit, you know before the day starts — not after.

## Planning With the Unified View

Use the unified view for daily planning. Each morning:

**Step 1:** Look at your calendar. How much open time do you actually have today?

**Step 2:** Look at your Toodledo tasks due today. How much time do they need? (This is where time estimates in Toodledo become critical.)

**Step 3:** If tasks exceed available time, make decisions now. Defer the lowest-priority tasks. Delegate what you can. Communicate adjusted timelines before deadlines pass, not after.

**Step 4:** Mentally assign tasks to specific open blocks. "The report goes in the 9:30-11 window. The contract review fits in the 11:30-12:30 slot." You don't need to create formal calendar events for each task — just knowing where they'll go is enough.

## Avoiding Calendar Clutter

The main risk of calendar sync is clutter. If every task on your list appears on your calendar, it becomes unreadable. Best practices:

**Sync selectively.** Only sync tasks that are due today or this week, not your entire task list. Your calendar is for today's reality; your task list is for everything.

**Use a separate calendar layer.** Subscribe your Toodledo feed as a distinct calendar that you can show or hide. When you need the unified view, show it. When you just need to see meetings, hide it.

**Color code.** Set your task calendar to a different color than your meeting calendar. At a glance, you can see the ratio of commitments to available work time.

## Bi-Directional Awareness

Calendar sync creates bi-directional awareness. Your calendar becomes aware of your tasks, but the reverse is also valuable: being aware of your calendar when planning tasks.

When adding a task to Toodledo, glance at your calendar for that due date. Is the day already packed with meetings? Then setting a due date of that day is setting yourself up for failure. Choose the day before, or flag it as a task that needs an early start.

Some people add a recurring Toodledo task: "Check calendar before setting today's task priorities" (daily, 8 AM). This 2-minute habit prevents the most common planning failure: overloading a day that's already full of meetings.

## The Weekly Planning Power-Up

Calendar sync is most powerful during weekly planning. Open your calendar for the week ahead with Toodledo tasks visible. You can see:

Which days are meeting-heavy (less available for deep work). Which days are open (ideal for big tasks). Where your task due dates cluster (potential bottlenecks). Whether your week is realistic or overloaded.

Redistribute tasks accordingly. Move due dates from meeting-heavy days to open days. Front-load important tasks to the start of the week when energy is highest. Build in buffer days for overflow.

## The Bottom Line

A task list without calendar awareness breeds overcommitment. A calendar without task awareness hides your real workload. Syncing the two gives you an honest picture of your time — and honest planning is the foundation of consistent productivity.

Set up the sync, check the unified view each morning, and make planning decisions based on reality rather than optimism. Your future self will thank you every day that doesn't end with a panicked late-night work session.
