# Time Blocking: How to Plan Your Day for Deep Work

A to-do list tells you what needs doing. A calendar tells you when you're meeting with people. Neither one answers the most important question: when are you going to do the actual work?

Time blocking answers that question by assigning every hour of your day a specific purpose.

## What Time Blocking Is

Time blocking means looking at your day and assigning each chunk of time to a specific task or category of work. Instead of starting the day with a list and hoping things get done, you decide in advance: 9-11 AM is for writing the proposal, 11-11:30 is for email, 11:30-12 is for the team meeting, 1-3 PM is for coding, 3-3:30 is for admin tasks.

Cal Newport, the computer science professor who popularized time blocking, calls it "the most productive thing I do." It works because it transforms intentions into commitments. "I should work on the proposal today" is a wish. "The proposal is blocked from 9 to 11" is a plan.

## Time Blocking + Task Management

Time blocking without a task list is flying blind — you don't know what to block time for. A task list without time blocking is a pile of good intentions — you know what to do but never protect the time to do it.

Here's how to combine them using [Toodledo](https://www.toodledo.com) and your calendar:

**Step 1: Review your tasks.** Each morning (or the evening before), open Toodledo and review what's due today, what's high priority, and what's overdue. These are your candidates for time blocks.

**Step 2: Estimate time.** For each task you want to tackle today, estimate how long it'll take. Toodledo's length field is perfect for this. Be realistic — most people underestimate by 30-50%.

**Step 3: Block the time.** Open your calendar and, around your existing meetings, create blocks for your tasks. Label each block with the specific task: "Write Q3 report — intro and methodology sections," not just "Work."

**Step 4: Protect the blocks.** Treat task blocks like meetings. If someone tries to schedule over your deep work block, decline or suggest an alternative time. Your work is as important as any meeting — more important, usually.

## The Deep Work Block

The most valuable time block is your deep work block — an uninterrupted stretch of 90-120 minutes for your highest-priority, most cognitively demanding work. For most people, this should be in the morning when cognitive resources are fresh.

During deep work blocks: close email, silence notifications, close the office door (or put on headphones), and work on one task from your Toodledo list. Nothing else exists during this time.

If you only implement one time blocking practice, make it this: protect 90 minutes of uninterrupted deep work every day. The impact on your output will be dramatic.

## Types of Time Blocks

**Task blocks:** Dedicated to a specific task. "9-10:30 AM: Draft client proposal." These are your most productive blocks.

**Batch blocks:** Dedicated to a category of work. "11-11:30 AM: Process all email." "3-3:30 PM: Return all phone calls." Batching similar tasks reduces context switching.

**Buffer blocks:** Open time between structured blocks for overflow, unexpected tasks, and the inevitable things that take longer than planned. Without buffers, one delayed task cascades through your entire day.

**Admin blocks:** Time for the small but necessary tasks: filing, scheduling, expense reports, updating your task list. Consolidating admin prevents it from leaking into your productive hours.

## A Sample Time-Blocked Day

8:00-8:15 — Daily planning: Review Toodledo, plan time blocks  
 8:15-10:00 — Deep work: Write quarterly strategy document  
 10:00-10:15 — Break  
 10:15-11:00 — Deep work: Review and finalize budget spreadsheet  
 11:00-11:30 — Email batch: Process inbox to zero  
 11:30-12:00 — Meeting: Team standup  
 12:00-1:00 — Lunch  
 1:00-1:30 — Admin batch: Expense report, file documents  
 1:30-2:30 — Client work: Update project deliverables  
 2:30-3:00 — Buffer: Overflow and unexpected tasks  
 3:00-3:30 — Calls batch: Return pending calls  
 3:30-4:00 — Email batch: Afternoon inbox processing  
 4:00-4:30 — Planning: Review tomorrow's tasks, prep time blocks

Notice the structure: deep work early, meetings and communication in the middle, admin and planning at the edges. This matches the natural arc of most people's energy and attention.

## When Plans Change

They will. Every day. The point of time blocking isn't to follow the plan perfectly — it's to start with a plan and adapt intentionally. When a meeting runs long or an urgent task appears, you don't abandon the system. You rearrange the remaining blocks.

The question changes from "what should I do now?" (which invites procrastination and reactive work) to "which block do I move to accommodate this change?" (which keeps you intentional).

## Getting Started

Don't try to time-block your entire day on day one. Start with one deep work block: 90 minutes tomorrow morning, dedicated to your most important task from Toodledo. Block it on your calendar. Protect it. See how it feels and how much you accomplish.

After a week of single-block practice, add a second block. Then an email batch. Then an admin batch. Build the habit gradually, and within a month, you'll wonder how you ever worked without a plan for your time.
