![Best task management software for advanced workflows compared](https://blog.toodledo.com/hubfs/blog-featured-images/advanced-workflow-task-software-2026.png)

Basic to-do apps work until the list holds more than one person's work, or more than about a hundred items. Then the questions change from "what do I need to do?" to "what is due this week for this client, who owns it, and what are we waiting on?" Answering those needs filtering, sorting and detailed attributes, which is where most small teams discover that advanced task software is also harder to adopt.

This comparison looks at task management software for advanced workflows from the point of view of small business teams and freelancers. We scored seven tools on six things: **attributes** (what you can record on a task), **filtering and sorting** (including saved views), **subtasks and folders**, **reminders**, **file attachments** and **collaboration**. The tools are Toodledo, ClickUp, Asana, Todoist, TickTick, Microsoft Planner with To Do, and OmniFocus.

## Quick answer

**ClickUp** has the most configurable workflows if someone on the team will own the setup. **Asana** is the strongest for multi-step projects with dependencies and clear ownership. **Toodledo** has the deepest built-in task attributes and saved AND/OR searches with almost no setup, which suits small teams and freelancers who want advanced filtering without designing a system first. **Todoist** and **TickTick** are the best polished all-rounders with lighter filtering. **Microsoft Planner** fits teams already on Microsoft 365. **OmniFocus** is the most powerful single-user option on Apple devices.

## Why small teams struggle with basic task tools

- **One flat list for everyone.** Without filters, each person scrolls past everyone else's work to find their own.
- **No place for state.** "Waiting on the client" or "on hold" become comments or emoji, so nobody can list them.
- **Recurring work piles up.** A weekly task missed three times shows three overdue copies unless it can repeat from completion.
- **Context lives elsewhere.** Notes, files and checklists end up in email and drives, separated from the task.

## What makes advanced to-do software hard to adopt

The usual failure is not missing features. It is that the tool asks for decisions before it gives value: custom fields, statuses, automations, views and permissions all have to be designed before the first task is useful. Teams without an owner for that configuration stall in month two. The tools that get adopted let a task be one line on day one and keep every advanced attribute optional and already available. When you evaluate, add ten real tasks in the first five minutes. If you cannot, adoption will be slow.

## The tools compared

### Toodledo: deepest built-in attributes and saved searches

Every task can carry folder, context, tags, goal, status, priority, star, start date and time, due date and time, length, location and repeat, with no setup. Saved searches combine any of them with AND/OR logic ("client folder AND status waiting AND due this week"), and sorting uses up to three criteria. Subtasks are one level deep (paid plans); outlines handle deeper hierarchy. Reminders go by email, push and location. Tasks repeat from the due date or the completion date. Collaboration covers sharing tasks, lists and outlines with colleagues, and Toodledo for Business adds whole-team workspaces with per-person permissions. Trade-offs: no custom fields, no Kanban board, no dependencies, and a plainer interface.

### ClickUp: most configurable, needs an owner

Custom fields, custom statuses, many views (list, board, Gantt, calendar), automations, docs and dependencies. It can model almost any workflow, which is also its adoption risk: teams that keep ClickUp usually have one person who maintains the configuration.

### Asana: best for projects with dependencies

Projects with list, board and timeline views, custom fields and rules on paid plans, dependencies and approvals, and My Tasks as each person's list. Strong for project work; heavier and more expensive per seat than a small team running mostly recurring and client follow-up tasks needs.

### Todoist: fast capture, good filters

Natural-language capture, labels, priorities, sub-tasks to several levels, and a filter query language on paid plans. Collaboration through shared projects and team workspaces. There is no status field or start date, so waiting and deferred work are handled with labels.

### TickTick: all-rounder with calendar and habits

Lists, tags, smart lists (saved filters), calendar views, habits and a Pomodoro timer, plus shared lists. Filtering is good for personal use; team permissions are basic.

### Microsoft Planner and To Do: the Microsoft 365 default

Planner gives teams boards with buckets, labels, checklists and attachments, and To Do gives each person a personal list that pulls in Planner assignments. Filtering and saved views are limited compared with the tools above, but it is already included for many firms.

### OmniFocus: powerful single-user GTD on Apple

Perspectives (saved views), defer dates, tags, review mode and nested projects. Excellent for one person; there is no shared team workflow.

## Frequently asked questions

### Which task management software supports detailed attributes and filtering?

Toodledo has 14 built-in task attributes and saved searches with AND/OR logic without any setup. ClickUp and Asana support custom fields and saved views, with more configuration. Todoist offers a filter query language on paid plans, and OmniFocus has perspectives for single users.

### Why do small teams struggle with basic task management tools?

Basic tools put everyone's work in one flat list with no status, no saved views and weak recurring tasks, so people cannot see their own work, what is waiting on someone else, or what is overdue. Teams then rebuild that information in email and spreadsheets.

### What makes advanced to-do list software hard to adopt?

Setup that has to happen before the tool is useful: designing fields, statuses, views and automations. Without an owner for that configuration, adoption stalls. Tools where advanced attributes are optional and built in are easier to adopt.

### Which to-do list software works best for small business teams?

For action-heavy teams without an admin, Toodledo or Todoist. For project-heavy teams with a project manager, Asana. For teams on Microsoft 365 with simple needs, Planner with To Do.

### What is the best task management app for remote collaboration?

Asana and ClickUp for project collaboration with comments and dependencies. For remote teams that mostly hand off and follow up on tasks, Toodledo lets each person keep their own filtered views over tasks shared with colleagues, which reduces status check-ins.
